Selection Criteria

Logistics Assistant – Procurement

  • Education: University Degree in any subject

  • Experience: At least 3 months experience in logistics

 

الوصف الوظيفي:

  1. Supporting the Logistics Department in ensuring all procurements are filed and archived correctly in a clear and transparent manner in line with policies and procedures.
  2. Ensuring all logistics documentation is fully compliant with internal policies and external (donor) guidelines.
  3. Maintaining logistics databases through regular updating in addition to implementing improvements to the databases to enhance the quality of information provided.
  4. Establishing a positive working relationship with all departments, suppliers, NGO’s, other bases and regional offices.

Filing

  1. Drafting of Procurement Memos & Contracts for submission to the Procurement Logistics Officer for review.
  2. Liaising with suppliers to arrange the schedule of supply for the delivery of Program Departments’ supplies or services.
  3. Assisting Program Departments with logistical assistance throughout the procurement process, which includes but is not limited to:
  4. Reviewing technical details of all Order Forms received.
  5. Providing regular status updates for all Program procurements.
  6. Arranging technical checks with a member of the program department for samples of supplies requested before signing a contract with the chosen supplier.
  7. Organising the delivery of supplies in a timely manner whilst ensuring a member of program is present to confirm the quality of supplies received.
  8. Collecting all documents required in preparation of payment preparation to suppliers or service providers.
  9. Supporting the Logistics Department in other areas when requested to by the Area Logistics Officer or the Procurement Logistics Officer.

Archiving

  1. Liaising with the storekeeper when stock exit requests are received from the program departments to plan out the release of stock.
  2. Communicating with the trucking supplier for the organization of trucks for transportation of program supplies.
  3. Following up with the storekeeper and program departments to ensure all documentation is correct in line with policies and procedures.

Reporting

  1. Maintaining accurate filing of all procurements in progress and completed.
  2. Contributing to the weekly and monthly report submitted to the Area Logistics Officer by the Procurement Logistics Officer.
