NGO is currently looking to hire a (1) highly motivated TVET Centre Administrator to support her operations in Raqqa.

 

Suitable candidates for this position should possess:

 

Qualifications / Technical Skills:

 

 Familiarity with the humanitarian context affecting Syrian communities;
 Experience of working for an international humanitarian organisation is desirable;
 Proficiency in Microsoft Office and Google software, particularly Google Drive, Gmail, Google Docs, MS Word, MS Excel and MS Outlook. 

 

Interpersonal, Communication and Coordination Skills:

 

 Excellent analytical and communicative skills, a capacity and willingness to show initiative and take both a hands-on and an analytical approach to tasks and problems.  
 Excellent organization and coordination skills and capacity to prioritize, communicate effectively, and meet deadlines
 Proactive, creative, flexible, and able to cope with a challenging and constantly evolving humanitarian work environment, often under pressure.

Terms of Reference

TVET Centre Administrator

 

Job Title:  TVET Centre Administrator

Location:  Raqqa TVET Centre

Reports to: TVET Officer

Starting date: November 2019

 

 

Responsibilities

 In cooperation with TVET Team representatives, supervise the everyday operation of the TVET Centre in Raqqa,
 Make sure that the activities are going well according to the plan and strategy, following PIN’ rules and policies
 Conduct weekly project monitoring to ensure quality of activities & identify any challenges or delays. Ensure PIN complaints response mechanism (CRM) is briefed and accessible to all TVET students
 Ensure proper filing of project documents both hard copy and soft copy
 Inform TVET PO of any opportunities, challenges or changes to the programming environment in the field. 
 Assist in collecting and reporting any new security information, incident or any change of the context to the line manager. 
 In cooperation with PIN TVET Team, supervise and organize the work of TVET Centre support staff (guards, cleaners),
 Monitor the TVET Centre consumables (cleaning products, refreshment, fuel, etc.) and report on the needs to PIN TVET Team,
 Ensure the uninterrupted operation of the generator,
 Cooperate closely with TVET Trainers and provide the necessary support for the uninterrupted running of the TVET lessons,
 In cooperation with TVET trainers, monitor and keep the stock overview of all training materials, and report on the needs for restocking to PIN TVET team,
 Monitor and ensure that all TVET Centre equipment functioning without faults and inform PIN TVET Team immediately if such faults occur, 
 Collect and review project documentation, including curriculum and work plans, from TVET Trainers, provide necessary support when needed,
 Ensure attendance sheets of PIN support staff, trainers and trainees are filled in on a weekly basis,
 Perform other tasks as assigned by PIN TVET Team.

 

     Suitable candidates for this position should possess:

 Bachelor degree
 At least two years of relevant working experience (administration, education, economics, etc.),
 Ability to use Word, Excel and Outlook
 Fluent written and spoken Arabic. English knowledge will be considered as an advantage, 
 Experience in working for international or local non-governmental organizations (desired),
 Excellent organization and coordination skills with capacity to prioritize, communicate effectively, and meet deadlines
 Proactive and able to cope with a challenging and constantly-evolving humanitarian work environment, often under pressure
 Ability to establish and manage effective working relationships with colleagues, managers and external partners,
 A strong commitment towards humanitarian relief and disaster operations
