متطلبات العمل:

  • Familiarity with the humanitarian context affecting Syrian communities;
  • Experience of working for an international humanitarian organisation is desirable;
  • Proficiency in Microsoft Office and Google software, particularly Google Drive, Gmail, Google Docs, MS Word, MS Excel and MS Outlook.

Interpersonal, Communication and Coordination Skills:

  • Excellent analytical and communicative skills, a capacity and willingness to show initiative and take both a hands-on and an analytical approach to tasks and problems.
  • Excellent organization and coordination skills and capacity to prioritize, communicate effectively, and meet deadlines
  • Proactive, creative, flexible, and able to cope with a challenging and constantly evolving humanitarian work environment, often under pressure.

الوصف الوظيفي:

  1. Office/Programme Support and Administration
  • Collects all TVET documentation and ensures all is sent to Kobane for additional finance processing and archivation.
  • Supports newcomers in orientation and makes sure all HR documents are properly collected and saved in ELO for newly starting staff.
  • Administration duties: translation of administrative documentation Arabic to English and vice versa
  1. HR Administration
  • Maintains the HR tools (checklist, folders, server) and keeps them up to date; ensures that National Staff Policy and other important documents are available in relevant language versions
  • Maintains the personnel database and keeps all changes up-to-date
  • Maintains and keeps updated office organigrams
  • Ensures all documents are archived in ELO under the personal folders
  • Issues and keeps updated the ID cards for staff
  • Annual leave, sick leave, and overtime

o After being informed about employees’ absence, immediately makes record of it; at the end of month compares this record with signed attendance sheet. Ensures that overtime approval is properly archived.

  • Attendance sheets

o Collects all office attendance sheets and uploads them to ELO

  • Ensure that staff contact list is updated in monthly basis

III. Finance Administration

  • Substitutes the Finance Officer during his/her absence with following tasks

o Keep record of all cash transaction in physical Cash Book

o Keep record of all advances and advance clearances / refunds of employees and current advance balance in physical List of Advances confirmed by employees signature for each transaction

o Checking formal correctness of financial documents received, refusing incorrect or incomplete documents

o Provide financial support to the project staff

o Scanning of all cash documentation and its filing

  1. Other
  • Other tasks assigned by employee’s Line Manager corresponding to actual needs of Country Programme, and projects.
  • Substitute relevant colleagues (fully or partially) during their absence when assigned by employee’s Line Manager.
  • Understand and adhere to the mission’s National Staff Handbook, PIN Code of Conduct, PIN Key Policies and relevant guidelines
