متطلبات العمل:

Professional Skills:

• A degree in English, business, administration, or another relevant subject is preferred

• At least three years of related experience; including office management or administration

• Demonstrated belief in human rights including gender equality

• Brilliant organization and planning skills and ability to multi-task

• Good communication and coordination skills

• Computer skills including knowledge of Microsoft Word, Excel, and email

• Experience in report writing

• Good interpersonal skills and ability to work as part of a team, as well as independently

• Flexible and able to work in a dynamic and diverse environment

• Fluency in Arabic and/or Kurdish. Fluency in written and spoken English is required.

Personal Skills:

• Demonstrated interest in humanitarian work and supporting people affected by conflict

• Positive and professional attitude, patient, flexible, and able work under pressure

• Team-oriented and collaborative

الوصف الوظيفي:

Procurement and Materials Management:

• Cross-check program charging codes in line with grant budgets

• Act as the Integrated Protection focal point for the online BvA system, including monitoring availability of budget lines and escalating to Finance and Supply Chain when lines appear as unavailable

• Maintain an accurate and up to date tracking sheet of all purchase requests and programme expenditures including monitoring when purchase requests are actioned, closed, or delayed; submit tracking sheet to management on a weekly basis

• Receive and review POs from Supply Chain cross checking actual amounts committed to projected PR amounts in the tracking sheets, update as necessary

• Using the expenditure tracking sheet, check spending against integrated protection budget lines from spending plans as shared on a monthly basis by programme managers; flag inconsistencies, under or overspending to Programme managers

• Attend Grant Review and Opening Meetings with Programme Managers, to keep on track with donor compliance for PRs/expenditures raised and report on spending 

• Work with Program Officers to ensure materials are dispatched to program locations in a timely manner

• Check quality of products in MPAs against M&E monitoring reports produced, raise any concerns or recommend changes

• Be responsible for the smooth running of the administrative procedures between protection and WPE teams, from receptionist to administrative assistants

Petty Cash Management:

• Manage the Integrated Protection petty cash system in line with the related SOP, ensuring all transactions are fully approved and compliant

• Support with Emergency Protection cash in line with the related SOP

• Maintain responsibility for the cash safe, including regular cash counts and tracking of all expenditures using relevant tools

• Reconcile petty cash expenses with Finance on a monthly basis, including submitting the petty cash tracking sheet, ensuring the correct coding of all expenditures, and completing a joint cash count with the Finance Officer

Reporting and General Administration:

• Ensure staff in all locations are able to access timely administration support, with particular consideration for Ain Issa, Deir Ez Zour and Amuda. This will include through regular check-ins and travel where necessary.
