Job Requirements:

  • At least a B.A. education level;
  • Superior written and spoken English. Kurdish and Arabic preferred;
  • Good critical thinking and ability to interpret data;
  • High-level skills in Word, Excel and PowerPoint. Familiarity with internet research and common software applications;
  • Familiarity with program design, including log frames, budgeting and grants/report writing;
  • Familiarity with working with local organization preferred;
  • Ability to work independently in a rapidly changing professional environment with a view towards establishing administrative procedures and protocol that will ensure optimal functioning of the Operation;
  • Highly motivated, detail-oriented, fast learner with good interpersonal, organizational, and time management skills;
  • Ability to work within a multi-cultural team.

Job Description:

Grants management:

  • Work with programme teams to produce high quality donor and internal reports, as requested by the Grants Coordinator XB;
  • Organize Grants Review Meetings, take meeting minutes and action points.

Partnerships:

  • Facilitate and support the updating of partner mapping processes by Program sector leads, including facilitating engagement with external parties to do so
  • Maintain sub-award tracker and monitoring schedule, reflecting both current and reasonably anticipated partnerships, including through liaison with all program sectors;
  • Act as a focal point for and facilitator of partner identification and selection processes for new partnership opportunities with the different program sectors;
  • Facilitate and (as appropriate) conduct partner due diligence vetting steps, including the documentation of those steps
  • Support and participate in partner pre-award assessment processes
  • Coordinate online internal HQ approvals for new sub-awards;
  • Monitor and facilitate the correct application of partnership procedures, including use of templates for reporting and agreements.
  • Support and advise program staff at all seniority levels on partner management and donor partner compliance;
  • Act as a focal point for partner management, including scheduling and minuting internal coordination meetings
  • Support the scheduling, administration and documentation of partner management processes, including opening, review and closing meetings, monitoring visits and reporting, in accordance with the schedule set out in the tracker, including coordinating and facilitating the appropriate inputs of all departments;
  • Collect, disseminate and follow up on meeting minutes and action points for partner review meetings.
  • Support the implementation of sub-award close out processes.
  • More generally, solicit informal feedback from partners and channel to IRC staff as appropriate (to complement the formal feedback mechanisms).

Filing:

  • Maintain comprehensive hard and soft filing system, including online;
  • Perform quarterly assessments on the status of filing, with the aim of identifying gaps.

Other:

  • Perform other duties, as needed or requested by the supervisor.
